The Rugby World Cup 2027 runs from 1 October to 13 November 2027 across seven Australian host cities. Counting back from the opening match, a union bringing a squad, a backroom staff and a broadcast unit has three separate visa jobs. The sponsorship approval sits at the front of all of them, and it is the step most organisations start too late.

Take a fictional example. A European union plans to land in Sydney in mid-September 2027 with 33 players, 24 staff and a six-person media team. Its Australian host club has never sponsored anyone. Nobody has checked which stream applies to the camera operators. If the sponsorship application only goes in during winter 2027, the whole delegation is waiting on one approval.

Short answer: Players, coaches and officials use the subclass 408 Temporary Activity visa at $535 per applicant. Adult family members pay $535 and children $135. Broadcast crews use the 408 entertainment stream or the subclass 400 at $535, and the Australian sponsor should be approved in 2026.

Who is travelling, and which visa fits each role

A World Cup delegation is not one group. In practice it is four groups with four different evidence sets. Sort the names first, then choose the visa.

Players, coaches, match officials and selectors sit in the sporting activities stream of the 408. An approved Australian temporary activities sponsor, usually the host club or national body, lodges the sponsorship once. Each person then applies separately, but the sponsor evidence is shared across the squad.

The 408 streams that carry a World Cup

The subclass 408 has several streams, and three of them matter here. First, the sporting activities stream covers competition and high-level training. Second, the entertainment activities stream covers television and film production, which is where broadcast crews sit. Third, the Australian Government Endorsed Events stream covers participants in events the Government has formally endorsed.

The endorsed events stream allows longer stays and, where the organiser supports the application, removes the need for a separate sponsor. However, the list of endorsed events changes. Organisers should confirm the current status of Rugby World Cup 2027 with the Department before relying on that stream. If it is not endorsed for your group, the sporting or entertainment stream still works.

The 400 for short specialist crews

The subclass 400 Short Stay Specialist visa suits people with highly specialised skills who are needed briefly. It costs $535 and needs no approved sponsor. Instead, the Australian organisation supplies a letter setting out the work, the dates and why an Australian could not do it.

Because it is short and unsponsored, the 400 tempts organisers to use it for everyone. That is a mistake. Choose by length and by employer, not by convenience.

The timeline, counting back from 1 October 2027

The Department publishes processing times monthly and they move. Therefore, the timeline below is built on lead time, not on promised dates.

  1. September to December 2026Confirm the Australian sponsor entity. Lodge the temporary activities sponsorship, which costs $420 and lasts five years. Decide who is a 408 applicant and who is a 400 applicant.
  2. January to March 2027Collect passports, health insurance and character documents for the whole delegation. Draft nominations for each stream with dates, venues and funding.
  3. April to May 2027Once the sponsorship is approved, lodge the player and staff applications in a batch. Lodge 408 entertainment applications for full-tournament broadcast staff.
  4. June to July 2027Lodge subclass 400 applications for short specialist visits. Chase health examinations where the Department requests them.
  5. August 2027Late additions: injury replacements, extra analysts, replacement crew. Because the sponsorship is already in place, these move quickly on the paperwork side.
  6. September 2027Arrivals. Check every grant letter against the passport used and the intended travel date.

Charges are Department of Home Affairs figures as at 1 July 2026. Health insurance, police clearances and professional fees sit on top. Applicants already in Australia on another temporary visa also pay a $700 subsequent temporary application charge.

Seven host cities, one sponsor

Matches are spread across Sydney, Melbourne, Brisbane, Perth, Adelaide, Newcastle and Townsville. As a result, some unions assume they need a sponsor in each state. They do not. The visa is national and one approved sponsor supports every nomination regardless of venue. Still, name every city and training base in the nomination, so no clarification request follows later.

Family members

Partners and dependent children can be included in a 408 application at $535 per adult and $135 per child, and they generally hold work rights. Families staying for the full tournament sometimes travel on visitor visas instead. Those are cheaper, but they carry no work rights. Decide this per family before lodgement, because switching afterwards costs time and a second charge.
